Privacy Policy
Last updated: 10 October 2026
This Privacy Policy explains how ТОВ «ЕксВок» (EksVok LLC), a company registered in Ukraine and trading as EXEVOQ (“EXEVOQ”, “we”, “us”), collects, uses and protects personal data when you visit exevoq.com, contact us, book a call, or work with us as a client or partner. It is written to comply with the EU and UK General Data Protection Regulation (GDPR) and other applicable privacy laws. Questions and requests: hello@exevoq.com.
1. What data we collect
Contact and booking data. When you send us a message through a form on this site or book a call via Calendly, we collect the details you provide: name, email address, phone number (if given), company or website, your message and any answers to booking questions. Calendly’s privacy policy also applies to booking data.
Client and partner data. If we work together, we keep the information needed to deliver and account for our services: contact details of your team, correspondence, contracts, invoices and payment records, and access credentials you share with us for advertising and analytics accounts (stored securely and used only for the agreed work).
Business contact data from public and professional sources. For business-to-business outreach we may collect publicly available professional details — name, job title, company, work email, LinkedIn profile — from sources such as LinkedIn, company websites and freelance platforms (for example Upwork). We use this only to contact you about services relevant to your business, and you can opt out at any time.
Data collected automatically. When you use the site, we and our service providers automatically collect technical and usage data: IP address, device and browser type, operating system, language, pages viewed, time on page, referring site, approximate location (city level) and identifiers set by cookies and similar technologies. See section 2.
Anti-spam check. Our forms are protected by Cloudflare Turnstile, which verifies that a submission comes from a person. Cloudflare processes technical data about your visit (such as IP address and browser details), and its Turnstile Privacy Policy applies to this check.
2. Cookies, analytics and advertising technologies
We use cookies, pixels, tags and similar technologies in three groups.
Strictly necessary. Required for the site to work: security, spam protection, remembering your cookie choices and your light/dark theme preference. These do not require consent.
Analytics. Tools such as Google Analytics 4 and Google Tag Manager help us understand how visitors use the site — which pages are viewed, where visitors come from, and how the site performs — so we can improve it. Data is pseudonymised and reported in aggregate. You can opt out of Google Analytics with the browser add-on.
Advertising and measurement. We use advertising platforms such as Google Ads, Meta (Facebook and Instagram) Pixel and Conversions API, LinkedIn Insight Tag and similar tools to measure the results of our campaigns and to show relevant EXEVOQ ads to people who have visited our site (retargeting). When you send a form or book a call, we may share a hashed (one-way encrypted) version of your email address with Google and Meta to measure our ad results; where the law requires consent, this happens only after you accept advertising cookies. These platforms may link the data they collect with your account on their service and use it under their own policies: Google, Meta, LinkedIn. You can manage ad personalisation in your Google ad settings, Meta ad preferences and LinkedIn ad settings.
Your choice. Where the law requires it (including the EU, EEA and UK), analytics and advertising technologies are activated only after you give consent in the cookie banner. You can change or withdraw your choice at any time through the cookie settings on the site, and you can block or delete cookies in your browser settings. Blocking strictly necessary cookies may affect how the site works.
3. Why we use your data and on what legal basis
— To respond to your message, book and hold calls, prepare proposals and deliver our services — performance of a contract, or steps taken at your request before a contract (GDPR Art. 6(1)(b)).
— To keep the site secure, prevent spam and fraud, and keep records of our business communication — our legitimate interests (Art. 6(1)(f)).
— To analyse site usage and measure and improve our marketing — your consent where required (Art. 6(1)(a)), otherwise our legitimate interests.
— To contact businesses about services relevant to them (B2B outreach) and to send marketing communications — our legitimate interests, or your consent where the law requires it. Every marketing email includes an unsubscribe option.
— To comply with legal, tax and accounting obligations (Art. 6(1)(c)).
We do not sell personal data and do not use it for automated decisions that have legal or similarly significant effects on you.
4. Who we share data with
Service providers that process data on our behalf and only on our instructions: website hosting (Hostinger), security and spam protection (Cloudflare), email and office tools (Google Workspace), our CRM (Horizon CRM), call scheduling (Calendly), analytics and advertising platforms listed in section 2, and email and communication tools we use to reach clients and prospects.
Advertising platforms (Google, Meta, LinkedIn and similar) as independent controllers for the data collected through their technologies, as described in section 2.
Professional advisers and authorities — accountants, lawyers, payment providers and public authorities — where required to run our business or by law.
Some providers are located outside the European Economic Area, including in the United States. Where that is the case, transfers are protected by safeguards recognised under the GDPR, such as the EU-U.S. Data Privacy Framework or Standard Contractual Clauses.
5. How long we keep data
Inquiries and leads: up to 2 years after our last contact, unless we start working together. Client records, contracts and invoices: for the duration of the contract and afterwards for as long as tax, accounting and legal requirements oblige us to keep them. Analytics and advertising data: for the periods set in the respective tools (for example, Google Analytics user data up to 14 months). Cookie lifetimes are shown in the cookie banner. When data is no longer needed, we delete or anonymise it.
6. Your rights
Depending on where you live, you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to its processing, to receive it in a portable format, to withdraw consent at any time (without affecting processing before withdrawal), and to opt out of marketing. To exercise any right, email hello@exevoq.com; we reply within one month. If you are in the EU, EEA or UK, you may also lodge a complaint with your local data protection authority.
7. Security
We protect data with technical and organisational measures appropriate to the risk: encrypted connections (HTTPS), access limited to team members who need it, two-factor authentication on key accounts, and reputable providers with their own security certifications. No method of transmission or storage is completely secure, but we work to keep your data safe.
8. Children
Our services are for businesses. This site is not intended for anyone under 16, and we do not knowingly collect their data.
9. Changes to this policy
We may update this policy as our services and tools change. The date at the top shows the current version; significant changes will be announced on this page.
